It is imperative to continuously monitor your uOttawa email throughout your training in order to receive important communication from the PGME office, the Office of Risk Management, as well as your program. See below for forwarding instructions.
Please ensure to use the links provided in the checklist via the Enrollment Website. Do not use the links from previous academic years, as they may have changed.
Mandatory requirements apply during a leave of absence; with the exception of Canadian Medical Protection Association (CMPA), Immunization, Vulnerable Sector Screening (VSS), VSS Self-Declaration and e-Learning modules.

Canadian Medical Protection Association (CMPA)

Important:
- On January 1st, 2022, trainees will receive an annual invoice for fees from January 1st to December 31st, 2022.
Renewal is automatic; you do not need to provide renewal information unless there is a change in your contact information or payment method.

CMPA fee reimbursement
Eligibility criteria for reimbursement are set by each province/territory. In Ontario, please visit the Medical Liability Protection (MLP) Reimbursement Program on the Ministry of Health and Long-Term Care (MOHLTC) website.

Renewal of your CPSO license is done online.
Once your eLOA is electronically signed and submitted, PGME will upload details of your appointment to CPSO on your behalf, beginning April 19, 2021. Once CPSO receives your LOA, they will send you a message via your CPSO Member Portal with instructions for renewal.
Important:
File status: Please ensure to view your on-line profile regularly throughout the re-enrollment process.
Independent Practice License (IPL): Application deadline is mid-May 2021.
*CLINICAL FELLOWS: Any resident completing a residency program and being subsequently appointed as a Clinical Fellow must either renew his/her Postgraduate Education license or apply for an Independent Certificate of Registration if intending to bill OHIP for services while pursuing the Fellowship. No trainee will be permitted to bill OHIP with an Educational license.

Enrollment Checklist in Student Center via uoZone
Electronic Letter of Appointment (eLOA)
Electronically sign and submit your eLOA online.
Once your eLOA is submitted, a message will appear confirming successful submission. PGME will upload details of your appointment to CPSO on your behalf; CPSO will not accept it unless it comes directly from PGME.
Error(s) on eLOA:
- If the address on the eLOA has changed, please submit your eLOA to avoid delays. Note that you can update your address after your eLOA has been submitted. Your address can be updated in the Student Center via uoZone. Once you have updated your address, you can refresh your eLOA and print a copy for your records.
- If the MD and/or any other information is incorrect, please contact PGME.
To obtain a copy of eLOA: Refer to “View/Print LOA” in your checklist via the Student Center.
Starting after July 1st (off-cycle)?
- The LOA covers only one academic year at a time (July 1st to June 30th). If you are starting after July 1st, e.g. January 1st, the remainder of your training will be reflected on your LOA for the following academic year. Your LOA will never go beyond June 30th.

Emergency Preparedness
In the event of an emergency, a notification will automatically be sent to your uOttawa email. The Emergency Notification System (ENS) ensures you can be reached efficiently and effectively through a variety of methods. If you wish to be notified through your smart phone or tablet, please sign up via Protection Services.

For Visa Trainees
Additional requirements exist, including a valid Canadian work permit and health insurance coverage.
Work Permit: If your work permit is expiring in the next 6 months and you haven’t yet received the documents required to extend it from our office, please contact the Fellowships and Visa Programs Coordinator immediately.

Immunization
The Risk Management Nurse Advisor will be contacting you directly regarding your immunization requirements, including timelines.
This includes annual TB testing, Diphtheria-Tetanus immunization every 10 years, and N95 Mask Fit Testing every 2 years.
Important:
There are no religious or philosophical accommodations for immunization requirement.
Please send your results to the Risk Management Nurse Advisor, and not the hospital’s occupational health.

Prior to your return, it is your responsibility to ensure that you are fully compliant with:
- renewal of CMPA
- immunization & VSS/VSS Self-Declaration
- e-learning modules
If you plan on taking vacation at the end of your leave, please inform the PGME office and your Program Administrator.

Registration Fee (uOttawa)
$840 annual fee (effective July 1, 2021) payable to the University of Ottawa
You will receive an invoice and communications from the Financial Resources Office on how to pay your Registration fee, and you will require your University of Ottawa student I.D./account number in order to do so. Your student I.D. can be found in uoZone. Please note that you cannot start training until your fees have been completely paid.
Visa Trainees: If you are sponsored by the Saudi Arabian Cultural Bureau, your registration fees will be paid directly by the sponsor.

Vulnerable Sector Screening (VSS) and VSS Self-Declaration
Trainees must complete the VSS Self-Declaration form online available on the Enrollment Checklist in the Student Center via uoZone.
The Office of Risk Management is coordinating this effort, please watch for communications and instructions from them.

At the end of each module (and in order to receive credit), you must submit the statement of completion.
The following modules must be completed annually:
- Module 1: WHMIS
- Module 2: Privacy and Information Security
- Module 3: Emergency codes
- Module 4: Tuberculosis Management

You are responsible for checking your uOttawa email regularly. If you are not able to do so, ensure that your uOttawa emails are forwarded to an email address you check regularly; e.g. your hospital email address.
